Job Summary
Responsible for processing and recording financial transactions and generating financial statements. Assists in the budget process, audit and required tax filings.
Job Scope
No supervisory responsibilities. Responsible for the processing of financial information under the direction of the Director of Finance.
Principal Duties and Responsibilities
1. PROCESSES deposits at the corresponding banks.
2. PROCESSES check and procurement transactions in the corresponding financial system. COMMUNICATES with staff, members, volunteers and vendors as necessary to insure accurate and timely processing.
3. MAINTAINS the general ledger. IMPORTS and REVIEWS transactions from supporting applications (ALTRU and MUNIS). RECORDS journal entries for remaining transactions.
4. MONITORS and RECONCILES the bank and investment accounts of the Naperville Heritage Society. MONITORS account balances for availability of funds.
5. MONITORS purchase order activity and MAINTAINS necessary records. MANAGES the purchase order closeout process at fiscal year end.
6. VERIFIES City of Naperville staff properly records Naper Settlement transactions.
7. PREPARES monthly financial statements for Naperville Heritage Society and Naper Settlement.
8. PREPARES and FILES required tax forms to insure compliance with tax requirements. This includes remitting sales tax, financial/business information reporting through Form 990 and reporting payments to independent contractors on Forms 1099.
9. PREPARES workpapers and ASSISTS with the annual audit of the Naperville Heritage Society.
10. ASSISTS in the budget process.
11. ASSISTS the Director of Finance with RFP’s for special events, PREPARES banks for events and oversees the ticketing process for events.
12. PREPARES applications for required liquor licenses.
13. PREPARES invoices and processes payments related to sponsorships, food vendors, large scale rentals, and farmer’s market.
14. PERFORMS all other duties as assigned.

Skills, Knowledge and Abilities
Knowledge of general ledger, fund accounting and accounts payable procedures. Knowledge of computer financial systems and spreadsheets. Knowledge of bookkeeping and general office procedures. Skills in math, data entry and the operation of standard office equipment. Attention to detail. Ability to maintain confidentiality. Ability to communicate and work effectively with staff members, volunteers, vendors and the general public. Ability to work independently, meet deadlines and be flexible.
Essential Functions:
1. Ability to operate office equipment in order to send and receive information with necessary optical, auditory, and manual dexterity.
2. Ability to analyze, compute and audit information.
3. Ability to walk, sit, or stand for an hour or more at a time.
4. Ability to operate or observe office equipment for an hour or more at a time.
5. Ability to distinguish colors.
6. Ability to use a keyboard to enter, retrieve or transfer words or data.
7. Ability to closely examine computer screen or written reports.
8. Ability to read, comprehend and speak English and be able to demonstrate twelfth grade reading skills.
Minimum Education, Experience and Certification Requirements
Associate degree in accounting or business or equivalent. One to three years experience in a related field.
