The Membership Programs Assistant is a vital support role within the Membership team, reporting to the Membership Manager: Programs. This position assists with the preparation, execution, and follow-up of all member-focused programs and events, while also providing general administrative support to the department. The assistant ensures seamless coordination of both public-facing and internal activities, supporting logistics, vendor communications, reporting, and department operations. This position offers growth potential into broader roles within membership, special events, or fundraising.

 

Duties and Responsibilities:

Event Logistics and Support

  • Assist in the coordination of all logistics for membership programs and events, including Members’ Nights, exhibition previews, lectures, and other engagement offerings.
  • Provide on-site staffing support for events and ensure all event-related materials, communications, and supplies are prepared in advance.
  • Track RSVPs, coordinate vendor and volunteer communications, and assist with post-event follow-up, including surveys and data entry.
  • Maintain organized records related to event performance and member feedback.

Administrative and Departmental Support

  • Manage calendars, schedule internal and external meetings, and provide administrative support to the Membership Manager: Programs and broader department staff.
  • Assist with presentation development, supply tracking, and maintaining event and department documentation.
  • Support data entry and reporting tasks, as well as preparation of event lists and basic database queries.
  • Coordinate with internal teams and external vendors to process invoices, manage bill payments, and reconcile staff expense reimbursements.

Departmental Collaboration and Growth

  • Collaborate with team members across the department to support cross-functional projects and day-to-day operations.
  • Engage with Museum programs and staff to gain a deeper understanding of the institutional mission and its impact on member engagement.
  • Take initiative in learning about membership and fundraising functions to build skills for future professional growth.

 

Skills and Qualifications:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of 2 years of experience in a cultural institution, nonprofit, event, or administrative role preferred.
  • Strong attention to detail, organizational skills, and ability to manage multiple projects.
  • Effective communication and interpersonal skills.
  • Proficiency in Microsoft Office and Google Workspace; experience with CRM or database systems preferred.
  • Willingness to work occasional evenings or weekends to support events.
  • Physical ability to lift or move up to 15 pounds occasionally.

Receives general supervision by the Membership Manager: Programs

Supervision Exercised:

The position has no direct supervisory responsibilities.

Work Hours and Shift:

35 hours per week; Monday–Friday 8:30am to 4:30pm
