What is the Springfield Park District?
The Springfield Park District offers a variety of educational and recreational programs, classes and events for people ranging in age from 6 months to seniors. The Park District partners with several local organizations and clubs to provide athletic programming such as youth baseball/softball, men’s soccer, disk golf leagues, cricket, rugby, pickleball, youth football, bicycling clubs and related clubs/groups. Additionally, the Springfield Park District also maintains intergovernmental/cooperative agreement with various Police Departments, School District and local colleges. We manage 4 Golf Courses, 2 Indoor Ice Rinks, 2 Outdoor Pools, Indoor Pool, 3 Dog Runs, 3 Disc Golf Courses, 2 Early Childhood Program Facilities; Preschool & Funshop, 2 Historic Pavilions, Special Needs Facility, a Carillon, Botanical Garden, Tennis Complex, Skate Park, Erin’s Pavilion Rental Facility and the Henson Robinson Zoo.

Position Summary:
The Botanical Garden Facility Program Supervisor is a full-time position. This position is primarily responsible for the General Operations pertaining to the oversite and management of youth and adult programs, curriculum, events, and volunteer staffing for the Botanical Garden operations. This position will be directly responsible for the marketing and expansion development of youth and adult programming that includes special events, private donors, corporate donors, and private rentals and reports directly to the Washington Park Botanical Garden General Manager. This position will also work closely with the GM to reestablish the Botanical Summer Camp, supervise the camp counselor, and lead the summer camp program.
Candidates should have strong interpersonal skills and the ability to work with a variety of stakeholders from visitors, volunteers, staff, sub-contractors, user groups, societies, and Park District administration. This person will be responsible for assisting in handling program budget items to support the Botanical Garden operational budget and will perform various administrative tasks that include, but are not limited to, procurement of supplies, utilizing Outlook, Internet Explorer, Excel, Word, ADP, RecTrac and related software programs and provide guidance and supervision to the Botanical Garden department.
Managerial experience in early childhood education, teaching, office, recreation, botanical, greenhouse work, conservation, hospitality center and services, customer service, and other similar activities involving the public, pre-school age children to seniors is a plus.
This position reports to the Botanical Garden facility, 1740 W Fayette Ave, Springfield, IL 62704, or where the Botanical Garden General Manager may otherwise assign. Botanical Garden Facility Program Supervisor will supervise part-time associate or volunteer staff, operate cash registers, assist with rentals, work special events, lead educational programming at the Botanical Garden, and provide customer service to patrons. The work performed involves regular contact with the public.
This position is non-exempt salary and works a minimum of 40 hours per week. The hours would include non-standard work on weekdays and occasional weekends during normal business hours and could include additional evening work as the facility needs. Schedules and job duties could fluctuate based on facility, operational and District needs. Please see a list of specific duties below.
Specific Responsibilities:
- Responsible for the development and coordination of the Botanical Garden’s special events, tours, user groups, outreach, and educational programs.
- Further develop the Botanical Garden with an increased emphasis on conservation and environmentally friendly practices.
- Responsible for the upkeep and establishment of the All-American Selection (AAS) flower bed on the Botanical Garden grounds. This position is the direct contact with the AAS organization for seed distribution and display.
- Assist with developing cross-departmental educational programs within the Recreation Department.
- Responsible for the promotion of the Botanical Garden through the development, administration, and implementation of a higher profile and increased media coverage. Serves as the Botanical Garden’s public and media relations manager. Responsible for assisting with the development and distribution of press releases and promoting the marketing of the Botanical Garden.
- Assist with Garden fundraising efforts.
- Assist GM with grant writing.
- Assist in designing seasonal floral show concepts and assist with the setup of said shows.
- Assist with developing interpretive signage and garden exhibits.
- Assist with large-scale special events on the Botanical Garden grounds.
- Assist with the design and coordination of landscape grooming, pruning, and planting.
- Assist in the design and installation of perennial and annual bedding plants around the Park District, seasonal holiday planting, decoration and/or lighting, and ordering of materials.
- Assists in the design, coordination, and installation of hardscape installation such as retaining walls, planters, subsurface drainage, and paths assigned by the Botanical Garden General Manager.
- Responsible for attending special meetings, board meetings, or related meetings as assigned by the Botanical Garden General Manager.
- Responsible for assisting in other greenhouse and garden activities as needed or directed by the Botanical Garden General Manager.
- Responsible for the performance of all other duties and responsibilities assigned by the Botanical Garden General Manager.
Facility and Office Work:
- Responsible for learning and understanding the use and programming of the Washington Park Botanical Garden and grounds, other district park services, district contracts, and related information about the organization and services it provides.
- Successful Completion of Park District Orientation, RecTrac Learning Lab & Customer Service Training.
- Operate Point of Sale Systems to include cash handling, cash registers, cash close-out responsibilities, learning RecTrac, and online portal Webtrac (Park District Online Registration Software) to assist patrons with admissions, membership passes, activity sign-up, rentals, etc.
- Assist with greeting the public in a courteous manner as they enter the facility, provide information per requests, or direct to other staff/departments.
- Assist with answering phones/message taking in a courteous and prompt manner, provide information per requests, and transfer to appropriate personnel/voicemail.
- Responsible for keeping the workstation clean.
- Responsible for maintaining an exceptional rapport with customers both on the phone and in person by displaying outstanding customer service in a friendly, outgoing, professional, and respectful manner at all times.
- Assist with processing payments made towards special event rentals.
- Leads some new programs/workshops for adults and children and helps in the design of said events.
- Keeps up with the Conservatory appearance/maintenance where the public has access to and works with the educational staff with tours of the Conservatory and grounds.
- Assistance in coordination, development, and/or supervision of special events, programs, or related activities.
- Represents the Botanical Garden department in the absence of General Manager or Horticulture Curator.
- Assist with renters and vendors to make sure events run smoothly on the weekdays.
- Assist with adjusting lighting and temperatures during weekday events.
- Managing other part-time Recreation Associate staff
- Minor janitorial duties – assistance with maintenance in sweeping lobby or restrooms, cleaning the front counter, replenishing paper towels and toilet paper, and emptying trash, especially with large events/crowds.
- Assistance with education entries in newsletter distributions.
- Horticulture Work: Conservatory – Clean/maintain plant displays and educational exhibits, weed, water, fertilize, install and maintain signage.
- Perform all other tasks assigned by General Manager or designee.
